Calendar & Scheduling
Overview
The Calendar page in AgentTech Dialer gives your team a shared scheduling system for appointments, meetings, follow-ups, and reminders. Every event is color-coded by type, can include participants pulled from your contacts, and appears on each user's personal calendar as well as the agency-wide view. Supervisors and admins can view any team member's calendar to coordinate workloads and ensure no appointment falls through the cracks.

Page Layout
When you open the Calendar page, you will see:
- Header bar — Contains a User / Agency Selector (visible to admins and supervisors) that lets you switch between viewing your own calendar, another agent's calendar, or the full agency calendar. Next to it is the Add Event button.
- Navigation controls — A row with Previous, Today, and Next buttons for stepping through time periods, a Calendar Title showing the current month, week, or day label, and a View Toggle with three options: Month, Week, and Day.
- Calendar grid — The main area displaying events in the selected view.

Calendar Views
Month View
The default view shows a traditional month grid. Each day cell lists the events scheduled for that date. Events are displayed as colored bars or pills that indicate the event type. If a day has more events than can fit in the cell, a "+N more" link appears; click it to expand the full list.
Week View
The week view presents seven columns (one per day) over a time grid that runs from early morning to late evening. Events appear as blocks whose height represents duration. This view is ideal for seeing how your day is structured and spotting gaps for new appointments.
Day View
The day view zooms in on a single date with a detailed hour-by-hour timeline. Use this when you need a minute-level picture of your schedule, especially on heavy booking days.
Navigating Between Views
- Click Month, Week, or Day in the View Toggle to switch.
- Use the Previous and Next buttons to step backward or forward by one month, week, or day depending on the current view.
- Click the Today button to jump back to the current date at any time.

Event Types & Color Coding
AgentTech Dialer supports six event types, each with its own color so you can instantly recognize what an event is about:

| Call | Teal | Scheduled outbound or callback calls. |
| Meeting | Purple | Internal team meetings or external client meetings. |
| Appointment | Blue | Formal appointments, such as enrollment sessions or policy reviews. |
| Follow-up | Orange | Reminders to reconnect with a lead or client after a previous interaction. |
| Reminder | Yellow | Personal or team reminders for tasks, deadlines, or action items. |
Color coding is applied automatically based on the event type you select when creating or editing an event.

Creating an Event
Click the Add Event button in the header (or click directly on a date or time slot in the calendar grid). The Event Modal opens with the following fields:
Event Title (required)
Give your event a descriptive name, such as "Follow-up call with John Smith" or "Team huddle." This is the text that appears on the calendar grid, so keep it concise but informative.
Event Type dropdown
Select one of the six event types: General, Call, Meeting, Appointment, Follow-up, or Reminder. The event will be color-coded accordingly on the calendar.
Date (required)
Pick the date for the event using the date picker.
Start Time (required)
Select the time the event begins.
End Time
Optionally set an end time. If left blank, the event is treated as a point-in-time entry.
All Day Event checkbox
Check this box if the event spans the entire day (e.g., a conference or an out-of-office day). When checked, the Start Time and End Time fields are hidden, and the event appears as a banner across the top of the day cell.
Description textarea
Add any additional details—agenda items, dial-in information, talking points, or links. This text is visible when someone clicks on the event to view its details.
Participants Section
This section lets you attach contacts or manually add people to the event.
#### Select from Contacts
- Click the Select from Contacts button.
- The Contact Selection Modal opens with a search input at the top and a scrollable contact list below.
- Type a name, phone number, or company to filter the list.
- Click a contact to add them as a participant. Repeat for additional participants.
- Close the modal when you are done selecting.
#### Add Participant Manually
Click the Add Participant Manually button to add someone who is not yet in your contacts. A row appears with fields for Name, Type, and Contact info. Fill in the details and the person is attached to the event.
#### Participant List
All added participants appear in a table within the modal showing Name, Type, Contact information, and a Remove button to take them off the event.
When you are satisfied with the event details, click Save. The event immediately appears on the calendar.

User & Agency Calendar Selector (Admin Feature)
Admins and supervisors see a User / Agency Selector dropdown in the calendar header. This lets you:
- View your own calendar — The default selection. Shows only events you created or are a participant of.
- View another agent's calendar — Select an agent from the dropdown to see their schedule. Useful for managers reviewing workload distribution.
- View the agency calendar — Select the agency option to see every event across all agents in one unified view. Events from different agents are interleaved on the same grid, giving you a bird's-eye view of the entire team's schedule.

Today's Schedule Widget in the Dialer
When agents are on the dialer page, a Today's Schedule widget is visible. It lists all events scheduled for the current day in chronological order, complete with event type colors and start times. This ensures agents never miss an appointment while they are making calls—the reminder is always in view.

Managing Events
Editing an Event
Click any event on the calendar grid. The Event Modal reopens with the event's current details pre-filled. Make your changes—update the title, change the time, add or remove participants—and click Save.
Deleting an Event
Open the event by clicking on it, then click the Delete button. A confirmation dialog asks you to confirm the removal. Once confirmed, the event is permanently deleted from the calendar.

Tips & Best Practices
- Use event types consistently. Categorizing every event correctly means the color coding stays meaningful. If something is a follow-up call, choose "Follow-up" or "Call" rather than "General."
- Add participants from contacts. Linking contacts to events creates a connection that helps you track all interactions with a lead. When you view the contact later, you will see the event in their history.
- Check the agency calendar weekly. If you are a supervisor, review the agency-wide calendar at the start of each week to ensure appointments are evenly distributed and no one is overbooked.
- Leverage the Today's Schedule widget. Glance at it between dialer sessions to stay aware of upcoming commitments.
- Set follow-up events during disposition. Immediately after dispositioning a call, create a follow-up event while the details are fresh in your mind.
- Use the Day view for heavy days. When you have many back-to-back events, the Day view gives you the clearest picture of timing and gaps.
- Add descriptions with context. A one-line description like "Discuss Medicare Advantage options, client prefers Plan G" saves time when the event arrives and you need to prepare quickly.
